Home Info Tracker is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web application and services.

1. Information We Collect

We collect information necessary to provide, secure, and support our services, which includes:

  • Account Information: Your name, email address, and secure login credentials provided during registration.
  • Household and Asset Data: The core data you choose to upload, including property details, appliance logs, maintenance schedules, receipts, and warranty documents.
  • Prohibited Sensitive Data: You must ensure that files and data entered do not contain highly sensitive personal identifiers (e.g., Social Insurance Numbers, full credit card numbers) or any confidential information you do not want saved on an external server. We do not intentionally collect or process this level of sensitive financial or government-issued data, and you are responsible for redacting such information prior to upload.
  • Usage Data: Automatically collected technical data such as IP addresses, browser types, log files, and interaction metrics used to diagnose issues and improve application performance.
2. How We Use Your Information

We use your data exclusively for the following purposes:

  • To operate, maintain, and provide the features of Home Info Tracker.
  • To authenticate users and secure accounts against unauthorized access.
  • To communicate important administrative notices, such as security alerts or policy updates.
  • To deliver communications and advertising: Upon registration, you are automatically opted in to receive promotional materials, special offers, platform news, and third-party advertisements via email. You may opt out of these promotional communications at any time.
  • To display targeted advertising: We may use generalized demographic information, user preferences, and usage data to display targeted advertisements. We do not scan your privately uploaded financial documents or sensitive receipts to build advertising profiles.
3. Cookies and Tracking Technologies

We and our third-party vendors use cookies, web beacons, and similar tracking technologies to analyze trends, administer the site, and serve targeted advertisements based on your browsing history and platform interaction. You will be presented with a clear consent mechanism to accept or decline non-essential tracking cookies prior to their deployment. Non-essential tracking scripts will remain blocked until you explicitly grant consent, ensuring full transparency and user control.

4. CASL Consent & Record Keeping

When you register for an account, we log the date, time, and IP address of your registration to maintain a compliant record of your consent to receive electronic communications, in accordance with Canada’s Anti-Spam Legislation (CASL).

5. Data Sharing and Disclosure

Your household data is private. We do not sell, rent, or trade your personal or asset information. We only disclose information under the following conditions:

  • Advertising Partners: We may share non-personally identifiable information, anonymized data, or tracking identifiers with third-party advertising vendors to deliver personalized ads. These partners are subject to their own privacy policies.
  • Service Providers: We may share necessary data with trusted third-party cloud hosting or infrastructure providers who assist in operating our platform. These providers are bound by strict confidentiality agreements.
  • Legal Requirements: We may disclose your information if required to do so by law, or in response to valid requests by public authorities in accordance with the laws of Ontario and Canada.
6. International Data Transfers

Your information, including personal data, may be transferred to—and maintained on—servers located outside of your province, country, or other governmental jurisdiction where the data protection laws may differ from those of Canada. By using Home Info Tracker and submitting your information, you consent to this transfer, storage, and processing, acknowledging that your data may be subject to access requests from governments, courts, or law enforcement in those foreign jurisdictions.

7. Business Transfers

If Home Info Tracker is involved in a merger, acquisition, or asset sale, your personal information and uploaded data may be transferred as a business asset. We will provide notice before your personal data is transferred and becomes subject to a different Privacy Policy.

8. Data Security

We implement robust, industry-standard security measures, including encryption in transit and at rest, to protect your personal information and uploaded documents from unauthorized access, alteration, or destruction. While we strive to use commercially acceptable means to protect your data, no internet transmission or electronic storage method is entirely secure.

9. Data Retention & Abandoned Accounts

We retain your active data for as long as your account remains open. If an account is abandoned and remains completely unaccessed (no successful logins) for a continuous period of 1 year (12 months), the account and all specific user data associated with it will be permanently deleted to minimize security risks and server load.

10. Data Breach Notification

We take the security of your household data seriously. In the event of a security breach that involves unauthorized access to your personal information and presents a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada (OPC) as soon as feasible. Notifications will be sent via the email address associated with your account and will include details of the breach and steps you can take to protect yourself.

11. Children's Privacy

Our services are not intended for use by anyone under the age of majority in their jurisdiction. We do not knowingly collect personally identifiable information from minors. If we become aware that we have collected personal data from a minor without verification of parental consent, we take steps to remove that information from our servers.

12. Your Privacy Rights

In compliance with applicable privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and Canada's Anti-Spam Legislation (CASL), you have the right to:

  • Request access to the personal data we hold about you.
  • Request corrections to any inaccurate or incomplete information.

13. Changes to This Policy

We reserve the right to update this Privacy Policy periodically. Any significant changes will be communicated to users via email or a prominent notice within the application prior to the change becoming effective.

14. Privacy Officer & Contact Us
